Privacy Notice

What this notice covers

This notice explains what Forward University collects when you use this website, why we collect it, how long we keep it and what you can ask us to do about it. It covers forwarduniversity.live and the admissions, eligibility and AI tools published on it. It does not cover the separate learning environment that opens with the founding intake; that system will publish its own notice.

What we collect

We collect only what a stated purpose needs.

• Information you type into a form: enquiry and application details, the contact address you give us, the qualifications you declare, and any documents you choose to attach.
• Information you type into an AI tool: the questions you ask LEO, and the profile answers you give the admissions wizard, readiness checker, statement coach, interview practice and study-plan tools.
• Information your browser stores locally on your own device: your Term or Block study preference, your saved learning plan, your comparison shortlist and your AI profile. These stay in your browser unless you submit them.
• Technical information needed to serve the page: request logs held by our hosting provider, including IP address, timestamp and the page requested.

Why we collect it

To answer your enquiry, to assess an application, to tell you about the intake you asked about, to give you a useful answer from an AI tool, to keep the site secure and available, and to understand which pages need improving.

We do not sell personal data. We do not use your data to train third-party AI models, and we do not run advertising networks on this site.

How the AI tools handle what you type

LEO and the AI admissions tools send your message to a model provider so an answer can be generated, together with published Forward content as grounding. Do not type national identification numbers, financial details or medical information into an AI tool. If you need to disclose something sensitive to support an application, email the admissions team instead.

Mwalimu, the learning companion, becomes available on enrolment and is governed by the learning environment's own notice.

Who we share it with

Processors acting on our instructions: our hosting and database provider, our email provider, and the AI model provider that generates tool responses. Each receives only what its function requires.

Regulators and awarding bodies where a law or a published requirement obliges disclosure, for example verification of a qualification with UNEB or the National Council for Higher Education.

How long we keep it

Enquiries: up to twenty-four months from the last contact. Applications: for the admissions cycle applied for, plus the period the University is required to retain an admissions record. Anything stored in your own browser stays until you clear it, and the site provides a clear button wherever it saves something.

Your rights

Under the Data Protection and Privacy Act, 2019, you can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it where no legal or academic-record obligation requires us to keep it, object to a particular use, or withdraw a consent you gave. Write to privacy@forwarduniversity.live and we will respond within thirty days.

Children

This site is intended for applicants aged sixteen and over and for the parents, guardians and sponsors who support them. We do not knowingly collect data from children under sixteen without a guardian.

Changes to this notice

When this notice changes materially we update the date at the top of the page and describe the change. This version is dated 2 September 2026.
